Desk Sharing Bag: What Really Matters When You Buy One

Desk Sharing Bag: What Really Matters When You Buy One

You arrive at the office and yesterday's desk is taken. So: new desk, laptop out, hunt for the charger, notebook somewhere at the bottom of the bag, mouse still in the locker. Ten minutes later you're set up, and in the evening you take it all apart again.

That's exactly what a desk sharing bag is for. But the choice runs from a €20 felt pouch to a bag that turns itself into a workstation. This guide shows you which type suits your working day and which seven criteria actually make the difference.

What a desk sharing bag has to do

An ordinary laptop bag transports. A desk sharing bag has to do three things:

  1. Transport – from the locker or from home to the desk, every day.
  2. Organise – every item has its fixed place, so you never search.
  3. Set up – your workspace is ready in under a minute, and gone again in under a minute.

Most products on the market handle points one and two. Point three decides whether you're still using the bag after three weeks.

The four types compared

1. Felt or fabric pouch (approx. €15–40)

A flat case with a few compartments for mouse, cables, pens. Fits in any laptop bag.

Good for: people who only carry small items and have a laptop bag anyway.
Weakness: no set-up at the desk – you're still unpacking and repacking. No laptop, no documents.

2. Classic desk sharing bag (approx. €30–70)

An open or semi-open tote with internal dividers, usually polyester. The well-known office-supply models fall into this category.

Good for: companies buying 200 units for everyone and wanting a simple standard.
Weakness: it looks like office supplies. Rarely stands up on its own, offers no structure at the desk, and is seldom taken home voluntarily – so it stays in the locker and you carry everything separately after all.

3. Locker bag (approx. €50–120)

Cut to locker dimensions, often felt, often made regionally. Sensible if your office has lockers and the bag lives there permanently.

Good for: office-only use with a fixed locker routine.
Weakness: mostly unsuitable as a commuter bag – no carrying comfort for the journey, no weather protection.

4. 2-in-1 work bag with organiser panel (approx. €110–150)

A proper commuter bag that unfolds at the desk and then works as a standing organiser. Laptop, documents, cables and pens stay where they are – you unfold and work. Our DeskMate is built this way.

Good for: people who move between home office, the office and client sites, and want to carry the bag after work too.
Weakness: the price. If you have the same desk five days a week, you don't need this.

Seven criteria that matter day to day

1. Does it stand on its own?
A bag that tips over is a nuisance at the desk. Self-standing is non-negotiable.

2. Does your laptop really fit – with the power adapter?
Many models say "up to 15.6 inches". Measure. A 16-inch MacBook or a 17-inch business laptop defeats most pouches.

3. How fast are you set up?
Count the movements. With a pouch it's eight to ten. With an unfolding bag it's one.

4. Access while seated
Can you reach pens, headphones and a charging cable without opening the bag and rummaging? A magnetic pocket or open front compartments make the difference here.

5. Material and weather
If you commute, you need water-resistant fabric. Felt absorbs moisture and doesn't look good after a shower of rain.

6. Do you want to be seen with it?
Honestly: a bag that looks like company equipment stays in the locker. One you'd also take to a café gets used every day.

7. Will it outlast the roll-out phase?
Zips, seams, handles. Cheap models are done after a year. Work out the price over three years, not the first month.

Which bag is right for you?

You have a locker and only carry small items: a felt pouch or locker bag is enough. Save your money.

You commute with a laptop and want to be ready in seconds: a 2-in-1 bag like the DeskMate (fits up to a 17" laptop, A3 documents and a water bottle; REPREVE® recycled fabric, water-resistant; three carrying options; €139).

You just need a tidy desk, not a bag: the Loop Desk Caddy is compact, fits in a locker or your own bag, and stands pens, notebook and accessories up at the desk (from €109).

You work on a laptop and want ergonomics too: the Gustav Original is organiser and laptop stand in one – made of wood, with a carry handle, set up in seconds.

You'll find all three in our desk sharing collection.

For companies: why the bag decides whether desk sharing works

Desk sharing rarely fails because of the software. It fails because people don't feel at home at a changing desk. A good bag gives every employee a piece of constancy back: their own set-up, the same every day, whichever desk it is.

If you're rolling out desk sharing for a team, our page for businesses has volume pricing and pilot programmes from 25 units.

Frequently asked questions

What is a desk sharing bag?
A bag you use to carry your work essentials to a changing desk every day and organise them there quickly. Unlike a laptop bag, it's designed for setting up and packing down at the desk.

What goes in a desk sharing bag?
Laptop and power adapter, mouse, headphones, charging cable, notebook, pens, water bottle – and whatever else makes the desk feel like yours.

Is an expensive desk sharing bag worth it?
If you use it daily and commute: yes, because you save set-up time and it lasts longer. If it only sits in a locker: no, a pouch will do.

Are there desk sharing bags for teams?
Yes. We supply companies from 25 units, with volume pricing. Request a quote.
